PPIM Vacation Rentals — Rental Agreement
This Rental Agreement (“Agreement”) applies to vacation rental reservations made for accommodations managed or offered by PPIM Vacation Rentals (“PPIM”). By completing a reservation and accepting the applicable rental terms, the primary guest (“Guest”) agrees to the terms of this Agreement and any property-specific rules applicable to the reserved accommodation.
1. Reservation & Payment
A payment equal to 50% of the total reservation amount is due at the time of booking to confirm the reservation.
The remaining 50% balance is due 30 days before arrival.
If a reservation is made within 30 days of arrival, the amount required to complete the reservation may be due at the time of booking.
2. Cancellation Policy
Refund eligibility is based on when the reservation is canceled relative to the scheduled arrival date:
1 day or more before arrival: 95% of paid prepayments are refundable.
If canceled after that: 0% of paid prepayments are refundable.
Cancellation timing will be determined using the local time applicable to the reserved property in Quintana Roo, Mexico.
Refund processing times may vary depending on the original payment method, financial institution, and payment processor.
3. Security Pre-Authorization
A USD $500 security pre-authorization is placed on the Guest's payment method 1 day before the scheduled arrival date.
The pre-authorization is a temporary authorization and is not intended to be a charge unless amounts become payable under this Agreement.
The authorization is scheduled to be voided 7 days after departure, provided there are no outstanding amounts properly attributable to the reservation.
The Guest may be responsible for verified costs associated with guest-caused damage, missing items, lost access devices, excessive cleaning, or other losses caused by the Guest, occupants, or visitors beyond ordinary wear and tear.
The $500 security pre-authorization is not a limit on the Guest's responsibility. If verified guest-caused losses exceed $500, the Guest may remain responsible for the actual amount of those losses.
After an authorization is released or voided, the time required for funds or available credit to appear may depend on the Guest's bank or card issuer.
4. Minimum Age & Primary Guest
The primary Guest responsible for the reservation must be at least 18 years old.
PPIM may reasonably request valid government-issued identification and reservation/payment verification when necessary to confirm identity or help prevent fraud.
The primary Guest is responsible for the conduct of all occupants and visitors associated with the reservation.
5. Occupancy
The number of overnight guests may not exceed the maximum occupancy stated for the reserved property unless PPIM provides prior approval.
The reservation may not be transferred, assigned, sublet, or resold without PPIM's prior authorization.
6. Daytime Visitors
Daytime visitors may be permitted where allowed by the individual property's condominium, building, HOA, community, or security rules.
Visitors are not automatically authorized as overnight guests and must not cause the property to exceed its permitted occupancy.
The primary Guest remains responsible for the conduct of all visitors.
Property-specific visitor registration or access requirements must be followed.
7. Check-In & Check-Out
Standard check-in is generally 3:00 PM, unless otherwise stated for the reserved property.
Standard check-out is generally 11:00 AM. Some properties may have a different check-out time, including 10:00 AM.
The check-in and check-out times stated in the Guest's specific reservation confirmation or property instructions control.
Early check-in and late check-out are subject to availability and require prior approval.
8. Smoking
Smoking is not permitted inside the rental property.
Smoking is permitted only in designated smoking areas where such areas are provided and where smoking is allowed by the property's condominium, building, HOA, or community rules.
The Guest is responsible for ensuring that occupants and visitors comply with these restrictions.
9. Pets
Pets are permitted only at properties specifically identified as accepting pets, and are subject to the rules and restrictions of that individual property.
Guests must disclose pets where required during the reservation process.
A property that does not expressly state that pets are permitted should not be assumed to accept pets.
10. Parties & Events
Parties and events are not permitted at the rental property unless PPIM has provided prior written authorization and the activity is permitted by the property's applicable building or community rules.
Unauthorized gatherings or activities that violate occupancy, noise, security, or community restrictions are prohibited.
11. Noise & Community Rules
Guests must respect neighbors and comply with all applicable quiet hours, security procedures, condominium rules, HOA requirements, building regulations, and community rules applicable to the reserved property.
Because PPIM offers accommodations in different buildings and communities, individual property rules may vary.
12. Property Care & Damage
Guests must use the property, furnishings, appliances, equipment, and amenities responsibly and leave the accommodation in reasonable condition.
Damage, breakage, malfunction, or other significant issues should be reported to PPIM promptly.
Guests may be responsible for the actual reasonable cost of repairing or replacing property damaged or lost due to the actions or negligence of the Guest, occupants, or visitors, excluding ordinary wear and tear.
13. Keys, Access Cards & Other Access Items
Guests are responsible for keys, key cards, electronic access devices, remotes, bracelets, parking passes, and other access items provided during the stay.
If an access item is lost, damaged, or not returned, the Guest may be responsible for the actual replacement or reprogramming cost.
14. Maintenance & Access
PPIM will make reasonable efforts to ensure that the accommodation is ready for the Guest's stay and to address reported maintenance issues.
PPIM, the property owner, building personnel, or authorized service providers may enter the accommodation when reasonably necessary for emergencies, urgent repairs, maintenance, safety, or protection of the property, with notice where reasonably practicable.
15. Amenities & Third-Party Services
Amenities and services vary by property.
Availability of pools, beaches, elevators, gyms, restaurants, internet service, utilities, community facilities, or other shared amenities may be affected by maintenance, weather, community rules, operating hours, service interruptions, or circumstances outside PPIM's reasonable control.
Transportation, golf carts, car rentals, tours, yachts, excursions, and other services may be provided or fulfilled by third parties and may be subject to separate terms and conditions. This accommodation Rental Agreement does not replace any service-specific terms applicable to those services.
16. Tropical Environment & Natural Conditions
The Riviera Maya has a tropical coastal environment. Weather, humidity, insects, wildlife, seaweed or sargassum, beach conditions, storms, and other natural conditions may vary and may occur despite reasonable property maintenance.
Guests should promptly report any property condition requiring attention so that reasonable steps can be taken where possible.
17. Hurricanes, Weather & Travel Disruptions
Weather events, hurricanes, tropical storms, flight disruptions, illness, transportation interruptions, and other travel-related circumstances do not automatically create an exception to the stated cancellation policy.
Unless PPIM expressly agrees otherwise or applicable law requires otherwise, the reservation's normal cancellation terms apply.
Guests are strongly encouraged to obtain appropriate travel insurance for circumstances that may affect their ability to travel or complete their stay.
18. Personal Belongings
Guests are responsible for securing their personal belongings during the stay.
PPIM is not responsible for loss, theft, or damage to personal belongings except to the extent responsibility cannot legally be excluded.
19. Safety
Guests must exercise reasonable care when using pools, balconies, rooftops, stairs, beaches, water features, appliances, recreational equipment, and other property amenities.
Children and other persons requiring supervision must be appropriately supervised by a responsible adult.
20. Property-Specific Rules
Individual properties may have additional rules, restrictions, check-in procedures, access requirements, or community requirements.
Property-specific terms disclosed in the listing, reservation confirmation, check-in instructions, or communications relating to the reservation form part of the conditions applicable to that stay.
Where a property-specific operational rule differs from a general operational rule in this Agreement — such as check-in or check-out time — the rule stated for the Guest's specific reservation controls.
21. Violations
Material violations of this Agreement, applicable law, occupancy restrictions, or applicable property/community rules may result in termination of the stay where permitted by applicable law.
The Guest remains responsible for legitimate amounts resulting from guest-caused damage, loss, or other violations as permitted by this Agreement and applicable law.
22. Governing Law
This Rental Agreement shall be governed by and interpreted in accordance with the applicable laws of Quintana Roo, Mexico, subject to any mandatory rights or protections that cannot legally be waived or excluded.
23. Electronic Acceptance
By accepting the rental terms during the booking process and completing the reservation, the Guest acknowledges that they have read, understood, and agreed to this Rental Agreement and any applicable property-specific rules.
Where the booking system supports it, retain the agreement version and acceptance date/time associated with the reservation.
